The Challenge

Valentine’s coaching business was growing, but his backend workflow couldn’t keep up. He was spending 20+ hours each week creating content, building custom workout plans, managing client check-ins, and manually following up with leads.

Most of his time was going to repetitive tasks inside Notion, Google Sheets, and Canva, which left less time for coaching, sales, and improving the program. Growth was starting to stall simply because the work didn’t scale.

The Solution

We built a set of connected workflows that automated the high-friction parts of his coaching operations.

Abandoned Form Recovery
When someone started his Typeform but didn’t finish, the system triggered personalized follow-ups using Make and Gmail. This increased warm lead re-engagement without Valentine manually chasing anyone.
Content Repurposing Assistant
He could upload a single YouTube video, and the system would generate Instagram captions, post ideas, and testimonial-based social proof posts. Claude and Google Docs handled the writing, while Canva templates kept everything on-brand.
Workout Delivery Bot
Each client now receives a weekly training plan automatically every Monday. The system pulls from Airtable, evaluates progress notes, and generates updated plans using OpenAI before sending them via Gmail.
Social Proof Generator
When a client hits a milestone, the system creates a formatted transformation story post, ready to publish.
AI Client Check-Ins
Weekly Google Forms responses are summarized automatically. If something needs attention, Valentine gets a notification so he can respond personally.

Instead of replacing his coaching, the system handled the recurring work that did not require his judgment.
